Annotations Panel

The Annotations Panel contains 23 tools for managing leaders, keynotes, legends, revisions, and annotation-related view utilities. Most of these tools operate across sheets and documents, making them essential during documentation phases when revision tracking and cross-document coordination are constant tasks.

Leaders

Conform Leaders

Batch rule-based cleanup for every text-note leader in a view. Snap leader angles, align text, equalize spacing, and convert styles in bulk. Instead of adjusting leaders one by one across a sheet set, Conform Leaders applies consistent rules to every text note it finds.

Key features:

• Snap leader angles to standardized increments (45, 90 degrees)
• Align text positions for visual consistency
• Equalize spacing between leader endpoints and text
• Batch-convert leader styles across selected views
• Preview all changes before applying

Getting Started

1. Open a view or select views containing text notes with leaders.
2. Launch Conform Leaders from the Annotations panel.
3. Configure angle snapping, alignment, and spacing rules.
4. Preview the proposed changes.
5. Click Apply to commit.

Tips

• Run this after placing text notes in bulk to clean up inconsistent leader angles.
• Use on sheet views before printing to ensure uniform leader presentation.

Keynotes

Find Unused Keynotes

List all keynote keys from the source file that have not been placed anywhere in the model. Useful for cleaning up keynote files that have accumulated unused entries over multiple project phases.

Key features:

• Scans the entire model for placed keynote tags
• Compares placed keynotes against the source file
• Reports every unplaced keynote key

Shortcut: KU

Tips

• Run before archiving a project to trim the keynote file to only what was actually used.
• Pair with Open Keynotes File to remove the unused entries directly.

Manage Keynotes

Open the Keynote Manager to view, edit, and reload project keynote definitions. Provides a structured interface for working with the keynote text file without leaving Revit.

Key features:

• View all keynote entries in a searchable, sortable table
• Edit keynote text and hierarchy directly
• Reload the keynote file after external edits

Shortcut: KM

Tips

• Use this instead of editing the raw text file when you need to see the full keynote hierarchy in context.
• Reload after another team member updates the shared keynote file.

Open Keynotes File

Open the currently assigned keynote text file in Notepad for direct editing. A quick way to make bulk edits to the keynote source when the structured editor is unnecessary.

Legends

Convert Drafting to Legend

Convert selected Drafting Views into Legend Views. Legends can be placed on multiple sheets simultaneously, unlike drafting views which are limited to one sheet. Use this when you realize a drafting view should have been a legend from the start.

Tips

• Convert shared detail components (wall sections, typical details) to legends so they can appear on multiple sheets without duplication.

Convert Legend to Drafting

Convert selected Legend Views into Drafting Views. The reverse operation - use this when a legend should become a unique view tied to a single sheet.

Copy Legends as Drafting

Copy legends from the current document to other open documents as drafting views. Useful when transferring content to a project that already has its own legend naming scheme.

Copy Legends as Drafting to Other Documents

Alias for Copy Legends as Drafting. Copies legends from the current document into other open documents, converting them to drafting views on arrival. Legend components are skipped automatically since they do not exist in drafting views.

Key features:

• Select destination documents, then pick source legends
• Converts each legend to a drafting view in the target
• Skips legend components that cannot be carried across

Copy Legends (Cross-Doc)

Copy Legend Views from the current document to other open Revit documents. The legends arrive as legends in the target document, ready to be placed on sheets.

Shortcut: KD

Tips

• Open both source and target documents before running. The tool shows all open documents as targets.
• Use this to distribute firm-standard legends (abbreviation keys, symbol legends) across projects.

Copy Legends to Other Documents

Alias for Copy Legends (Cross-Doc). Copies Legend Views from the current document to other open Revit documents so they land as legends in the target, ready for sheet placement. Target documents must already contain at least one legend.

Key features:

• Transfer firm-standard legends across multiple open projects at once
• Select destination docs first, then source legends
• Legends remain as legends in the target (not converted to drafting)

Legends Manager

Manage legend views and their placements across sheets. See all legends with placement counts, filter by orphaned status, delete, rename, remove from sheets, and export to CSV.

List Legends on Sheets

Alias for Legends Manager. Surfaces every legend view alongside its sheet placement count and orphan status, with filter and search controls to audit coverage before issuing a set. Select a legend to see which sheets it appears on, then use the action buttons to rename, delete, or remove it from a specific sheet.

• Filter by All, Placed Only, or Orphaned Only
• Search legends by name
• Remove a legend from one sheet without deleting it
• Export legend-to-sheet data to CSV

Key features:

• Full inventory of all legend views with sheet placement counts
• Filter to show only orphaned (unplaced) legends
• Batch delete or rename legends
• Remove legend instances from specific sheets

Getting Started

1. Launch Legends Manager from the Annotations panel > Legends pulldown.
2. Review the legend list - the Placements column shows how many sheets each legend appears on.
3. Filter to Orphaned to find legends placed on zero sheets.
4. Select legends to delete, rename, or remove from sheets.

Tips

• Run during cleanup to find and remove unused legends that inflate file size.
• Use the CSV export to create a legend placement schedule for documentation.

Revisions - Finding and Reporting

Find Clouded Legends

Find all Legend Views that contain Revision Clouds. Revision clouds placed inside legends do not appear in the Sheet Revision Index, which means they are invisible to the revision schedule. This tool flags that condition.

Tips

• Run before issuing a revision to confirm no revision clouds are hidden inside legend views where they would be missed by the revision schedule.

Find Rev Clouded Legends

Alias for Find Clouded Legends. Scans every legend view for embedded revision clouds - a common oversight since clouds on legends are ignored by Revit's automatic revision index. Reports the legend name, revision assignment, and element ID for each offending cloud, with clickable output links to the affected legend.

Key features:

• Highlights clouds Revit's revision tracking will silently skip
• Clickable output to jump straight to the affected legend
• Use as pre-issue QA before publishing a revision set

Revision Manager

Browse, set, and remove revisions across sheets. Filter by revision, search sheets, preview changes with dry-run mode, and export to CSV. This is the central tool for bulk revision management.

• Browse all revisions with per-sheet assignment status
• Filter sheets by revision assignment
• Batch set or remove revisions across multiple sheets
• Dry-run preview before committing changes
• Export revision-sheet matrix to CSV

Getting Started

1. Launch Revision Manager from the Annotations panel > Revisions stack.
2. Select a revision from the dropdown to see which sheets carry it.
3. Check or uncheck sheets to add or remove the revision.
4. Use Dry Run to preview changes before applying.
5. Click Apply to commit.

Find All Revised Sheets

Alias for Revision Manager. Opens the consolidated window for browsing, setting, and removing revisions across sheets, with filter-by-revision, sheet search, dry-run preview, and CSV export. Replaces what used to be a separate "find revised sheets" report - the manager now handles browsing and batch assignment in one place.

Key features:

• Filter sheets by revision to see exactly which carry it
• Dry-run preview before committing changes
• Export the revision-sheet matrix to CSV

Find Revision Clouds

Find all Revision Clouds that are placed inside Views rather than directly on Sheets. Clouds inside views behave differently from clouds placed directly on sheets - this tool helps you track down which views contain them.

Find All Revision Clouds on Views

Alias for Find Revision Clouds. Scans every view in the model for embedded revision clouds and reports the element ID, host view, and associated revision for each. Helpful for locating clouds that may be hidden or not visible on printed sheets. Clickable output links navigate directly to the host view.

Key features:

• Reports element ID, host view name, and revision per cloud
• Cleans up stray clouds left in section, elevation, or plan views
• Clickable output jumps to the host view

Find Sheets by Revision

Find every Sheet that carries the same Revision as the currently selected Revision Cloud. Select a revision cloud first, then run this tool to see all sheets sharing that revision.

Shortcut: KH

Find All Sheets with Selected Revision

Alias for Find Sheets by Revision. Reads the revision assignment from the currently selected Revision Cloud and reports every sheet that references that revision sequence. Works with both sheet-hosted and view-hosted clouds, with clickable output links to each matching sheet.

Key features:

• Auto-reads the revision from the selected cloud
• Builds a sheet list for a specific revision package
• Verifies all affected sheets before issuing

Find Missing Revisions

Verify that Sheet Revision Schedules list all revisions shown in views on that sheet. Catches the case where a view on a sheet contains revision clouds but the sheet's revision schedule does not include that revision.

Shortcut: KS

Tips

• Run this as a QA check before issuing any revision set. Missing revisions in the schedule mean the revision index on the sheet will be incomplete.

Sheets Missing Revisions

Alias for Find Missing Revisions. Scans every sheet and flags any whose revision schedule fails to list a revision that appears in a view placed on that sheet. Fixes the case where a cloud inside a view does not trigger the sheet's revision schedule update.

Key features:

• Full-model scan with a report of offending sheets
• Pre-issue QA to keep revision indices complete
• Targets the common "cloud in view not reflected on sheet" pitfall

Generate Revision Report

Generate a detailed cross-project report of revision activity including per-sheet counts and history. Produces a comprehensive snapshot of the project's revision state for coordination or archival purposes.

Revisions - Managing

Copy Revisions (Cross-Doc)

Copy Revision definitions from the current model to other open Revit documents. Transfers the revision entries themselves (name, date, description), not the revision clouds.

• Use this to standardize revision definitions across linked models in a multi-discipline project.

Copy Revisions to Open Documents

Alias for Copy Revisions (Cross-Doc). Copies revision definitions from the current model into other open Revit documents to keep revision schedules synchronized across a multi-file project. Select the revisions to copy, pick target documents, and use dry-run to preview before applying.

Key features:

• Transfers revision name, date, and description - not the clouds
• Dry-run preview before committing
• Standardizes revision definitions across linked discipline models

Create Revised Sheet Set

Create a reusable Print Set containing all sheets that have a specific Revision. Useful for issuing only the sheets affected by a revision rather than printing the entire set.

Shortcut: KN

Getting Started

1. Launch Create Revised Sheet Set from the Annotations panel > Revisions stack.
2. Select the target revision.
3. The tool finds all sheets carrying that revision and creates a print set.
4. Use the print set in Revit's Print dialog to print only revised sheets.

Remove Revision from Sheets

Remove a specific Revision from selected Sheets' "Revisions on Sheet" parameter. Batch operation for cleaning up revision assignments.

Set Revision on Sheets

Add specific Revisions to selected Sheets as "Additional Revisions". Batch operation for assigning revisions across multiple sheets at once instead of editing each sheet individually.

Turn off All Revisions

Hide all Revisions by setting their global visibility to "None". A quick way to suppress all revision clouds and tags across the entire project, typically used before printing a clean set or when revision clouds are cluttering working views.

Tips

• Remember to turn revisions back on before issuing a revision set. This tool affects the global visibility setting, not per-view overrides.

View Utilities

These tools are in the Annotations panel slideout (click the panel expansion arrow).

List Schedules on Sheets

Generate a report listing every Schedule placed on a Sheet across the entire project. Useful for auditing schedule placement and finding schedules that were placed but never updated.

Set Crop Line Weight

Set the Line Weight of the Crop Box boundary for one or more selected views. Crop region line weight is not controlled by view templates, so this tool fills the gap for batch standardization.

Shortcut: FD

Tips

• Select multiple views in the Project Browser before running to batch-apply the same crop line weight.

Set Crop Region To Selected Shape

Set a View's Crop Region boundary to match the shape of a selected closed Detail Line loop. Draw the crop shape you want using detail lines, select the loop, and run this tool to apply it as the view's crop region.

Getting Started

1. In the target view, draw a closed loop of Detail Lines in the shape you want for the crop region.
2. Select the detail line loop.
3. Run Set Crop Region To Selected Shape.
4. The view's crop region updates to match the drawn shape.

Tips

• Use this for non-rectangular crop regions on detail views or plan callouts.
• The detail lines can be deleted after applying since the crop region retains the shape.
